How To Create Microsoft Tenant Domain for a Customer Organization?

Introduction

This method supports creating new tenant domains for customers who self-registered or were manually added without a Microsoft tenant.

Prerequisites

To enable a customer organization to purchase Microsoft offers, it is essential to have a valid Microsoft tenant domain in the Microsoft Partner Center. This can be achieved in one of two ways:

  1. Create the customer organization in the Microsoft Partner Center and then synchronize it with the Appxite platform.
  2. Create the Microsoft Tenant Domain directly in the Appxite platform and synchronize it with the Microsoft Partner Center.

The second option can be performed directly within the Appxite platform from the Catalog menu. This article will guide platform Admins through the process of setting up the Microsoft Tenant Domain on the Appxite platform.

Note! Before creating a new Microsoft tenant domain, ensure that the customer organization does not already have a Microsoft tenant.
If the customer already has a tenant domain, it must be synchronized instead.

Create Microsoft Tenant Domain Steps

In order to create a new tenant domain:

  1. Log in to the portal on behalf of the customer, which the tenant domain needs to be created for.
  2. Select the Microsoft Product you would like to place a Purchase Order for, or simply select any Microsoft Product if the new tenant domain needs to be created without making a purchase.
    NOTE! It is not necessary to complete the purchase, in order to create a new tenant domain. The purchase order can be cancelled once the new tenant domain is created.
  3. In the Configure Plan form, select 'Create New' next to the Tenant Domain field:

    4. In the Domain name field, enter the name of the new tenant domain and select Save. New Tenant Domain will be created.

    TIP! The company name can be used for a domain name.
    A prefix 'onmicrosoft.com' will be appended to this domain name.

Once you select Create New on the Offer Form, you are presented with the following grid and options:

  1. Domain Name – Enter the name of the new tenant domain and click Save.

Error Handling in Tenant Domain Creation

When creating a new Microsoft tenant domain through the Appxite platform, various validation checks occur automatically. If an issue is detected, the platform will display an error notification or message directly in the interface, and the domain will not be created.

Common Error Scenarios

1. Domain Already in Use

  • Trigger: The domain name is already associated with another Microsoft customer organization.

  • System Response: A notification appears:
    "Domain name: 'yourdomainname.onmicrosoft.com' is not available."

  • Resolution: Try a different domain name.

2. Previously Attempted but Unsuccessful Domain Creation

  • Trigger: A domain name that was previously attempted but failed creation still appears in the grid.

  • System Response: The Save button remains disabled, and an error message appears.

  • Resolution: Use the Delete button to remove the failed domain entry, then reattempt creation with the same or a different name. More information can be found here.

3. Validation Errors from Microsoft

  • Trigger: Issues with customer profile details (e.g., missing or incorrect Tax ID, invalid address format) during backend verification with Microsoft.

  • System Response: The domain entry appears in the grid with status "Invalid" and an explanation in the Comment column.

  • Resolution: Review the Comment field for details, update the customer profile if necessary, and retry. Refer to the Limitations section for known Microsoft validation rules.

If you're unable to resolve the issue after following the above steps, please submit a support ticket to the Appxite Support Team for further investigation.

  1. Domain Name Summary – Displays all Microsoft domains created for the organization, whether successfully created, still processing, or failed.

  2. Status – Shows the current status of the domain. Successfully created domains can be selected during order placement.

  3. External ID – Shows the Microsoft Tenant ID. This is populated only for successfully created domains.

  4. Comment – Displays error messages for domains that failed to be created.

  5. Delete – Allows removal of domains in an "Invalid" status with no active subscriptions. This enables reuse of the domain name.

  6. Close – Closes the grid.

  7. Save – Saves changes (used when creating a new domain).

Actions after Microsoft Domain was Created

1. When the new tenant domain is created, the primary contact specified in the customer organization profile receives the details of the newly created Account, including the Admin user account, via email:

2. Enter your administrator account name, in the format: admin@yourdomain.onmicrosoft.com and click Next.

Limitations

NOTE! Microsoft has set following restrictions for tenant creation, if not followed, the creation will fail. Full restrictions rules are described here.


When a customer creates a tenant domain with Microsoft through the platform, Tax ID (used to be call VAT number) and other details will undergo extra validation from Microsoft as per their requirements for selected countries.

Important to remember:

  • Upon creation of a tenant domain, the latest customer information from the customer profile in the platform will be sent to Microsoft for validation.
  • If Tax ID is empty in the customer profile, the customer will be marked as Tax-exempt on Microsoft side.
  • Updating customer profile in the platform will update customer’s information on Microsoft side the next time a tenant domain is used.

The Microsoft Tenant Domain Name and Microsoft Tenant ID are unique identifiers for all organizations within the Microsoft ecosystem. For existing or potential customers who wish to begin purchasing Microsoft licenses and Azure Plan offers using the Appxite platform, the process is simple, quick, and fully self-service.

Once the information in the Profile section is aligned with Microsoft’s requirements, creating the domain and purchasing offers is just a few clicks away. This allows customers to correct any errors and attempt the domain creation process again.
