Understanding Order/Purchase form editing

The Order/Purchase form is configured within pricing plans in Product Management. To edit an existing form, Product Managers must create a copy of the current pricing plan, as active pricing plans cannot be directly modified while in use.

Why copying is required: Active pricing plans are read-only to preserve pricing integrity for existing Subscriptions. Creating a copy allows Product Managers to make changes that will apply to future purchases without affecting current Subscriptions.

How to edit the existing Order/Purchase form

Follow these steps to modify the Order/Purchase form:

Step 1: Access the offer's pricing plans

  1. Navigate to Product Management (Producthub).
  2. Search for the Offer you want to modify.
  3. Locate the Offer in the Offers list.
  4. Select "Edit pricing plan" beside the Offer.

This opens the Pricing plans view showing all existing pricing plans for the Offer.

Step 2: Review the current pricing plan

In the Pricing plans list, you will see existing pricing plans with the following information:

  • Date From: The effective start date
  • Currency: The currency used for pricing
  • Country: The countries where this pricing applies
  • Last Update By: User who last modified the plan
  • Last Updated Date: Timestamp of last modification

View mode limitations: If you select "VIEW" for an existing pricing plan, it won't allow you to edit the pricing plan and the "Save Plan" button is grayed out. This is because active pricing plans are read-only.

Step 3: Copy the current pricing plan

  1. Locate the pricing plan you want to modify.
  2. Select "COPY" beside the pricing plan.
  3. A popup window will appear titled "Copy pricing plan."

Step 4: Configure the copied pricing plan

In the Copy pricing plan popup, configure the following fields:

Effective from: Indicate the date when the new pricing plan (with your modifications) should become effective. The field is prefilled with today's date.

Currency: Select the currency for the copied pricing plan (for example, US Dollar (USD)). The dropdown shows the current currency by default.

Country: Select the countries where this pricing plan applies (for example, "All"). The dropdown shows the current country configuration by default.

Action buttons:

  • CANCEL: Closes the popup without copying the pricing plan
  • OK: Creates the copy with the specified configuration

Select "OK" to proceed with copying.

Working with copied pricing plans

Step 5: Edit the copied pricing plan

After selecting "OK," an exact copy of the first pricing plan will appear in the Pricing plans list. The new plan shows your specified effective date, currency, and country.

Accessing the Design section:

  1. Select the newly copied pricing plan to open it.
  2. Navigate to the Design tab in the left sidebar.
  3. The Design section displays the current Order/Purchase form configuration.

Available form controls: You can now modify the Order/Purchase form using various control types:

  • Text
  • Number
  • Checkbox
  • Date
  • Radio
  • Dropdown
  • Multi Dropdown
  • Panel
  • Universal Tenant Domain
  • Microsoft Tenant Domain
  • Vendor Configuration

Making changes:

  • Add new controls by dragging them from the control list
  • Modify existing controls by selecting them and editing properties
  • Remove controls using the delete icon
  • Reorder controls by dragging them to new positions
  • Configure control properties in the Properties panel

Step 6: Save your changes

  1. After making all desired modifications to the form, select "SAVE PLAN."
  2. The modified pricing plan is now saved and will become active on the specified effective date.
NOTE! The message "You cannot edit plan in view mode. Please create a new plan to make and save any changes" appears when viewing existing plans as a reminder that copying is required for modifications.

Summary

Product Managers modify Order/Purchase forms by creating copies of existing pricing plans, as active pricing plans are read-only to preserve integrity. To edit a form, Product Managers navigate to Product Management, select "Edit pricing plan" for the desired Offer, and copy the current pricing plan using the "COPY" button. In the Copy pricing plan popup, they specify the effective date, currency, and country for the new plan. After copying, the new pricing plan opens in edit mode where Product Managers can access the Design section to add, modify, or remove form controls. Changes are saved using the "SAVE PLAN" button, and the modified form becomes active on the specified effective date. This workflow ensures that modifications to Order/Purchase forms don't affect existing Subscriptions while allowing Product Managers to improve data collection for future purchases.
