How to copy an Offer? New UI

Appxite

Introduction

This article explains how to copy an existing Offer in Product Management Hub. Copy Offer creates a new Offer as a Draft, based on the configuration of an existing one. This is useful when creating a similar Offer with only minor differences — for example, a regional variant or a slightly different pricing structure — without re-entering everything by hand.

The user chooses which parts of the source Offer to copy: the Offer Form, the Pricing Plan, the Billing Rules, and the Integration Sequences. The new Offer is always created as a Draft, regardless of the source Offer's status.

In this article:

NOTE! The new Offer is always created as a Draft and is not yet visible on the Platform. It must be reviewed and explicitly published from the Review & Publish step before it becomes available to Customers. See How to create a new Offer for the publishing flow.

Accessing the Copy Offer feature

To copy an Offer:

  1. Sign in to Product Management Hub. For details, see Product Management overview.
  2. Open the relevant Vendor from the My Vendors grid.
  3. On the Products & Offers page, select View Offers (eye icon) next to the Product.
  4. In the Offers grid, locate the Offer you want to copy.
  5. In the Actions column, select the Copy Offer icon (copy/duplicate icon). The "Copy Offer" tooltip is shown on hover.

NOTE! Copy Offer is available regardless of the source Offer's status — Draft, Published, Unpublished, or Archived.

The Copy Offer dialog

Selecting the Copy Offer icon opens the Copy Offer dialog with the heading "Select entities to copy to the new offer". The dialog lists the entities available for copying as checkboxes under a Copy Entities section.

Entities available for copying

  • Offer Form (required) — base Offer data, including name, description, localisation, marketing content, availability (countries, industries), and base settings. The checkbox is always selected and cannot be unselected.
  • Pricing Plan (optional) — all prices for the selected effective date, billing cycles, and currency configurations.
  • Billing Rules (optional) — all billing rules, invoicing rules, and aggregation settings.
  • Sequences (optional) — provisioning Integration Sequences for Platform Integration. Available when the source Offer has Integration Sequences configured. If the source Offer has none, the checkbox is disabled and the dialog shows "No sequences available" next to the option — this simply reflects the source Offer's current state and is not a permanent restriction.

Select All

The Select All toggle at the top of the dialog checks or unchecks all optional entities at once. By default, all four entities (Offer Form plus the three optional ones) are selected, so Select All appears active when the dialog opens.

Entity counter

Below the entity checkboxes, the dialog displays a counter showing how many entities are currently selected (for example, "3 entities selected for copying"). The counter updates as you toggle individual entities.

Selecting a Pricing Plan date

When Pricing Plan is selected, a Select pricing plan date dropdown appears below the checkbox.

  • The dropdown shows the last 5 effective dates of Pricing Plans for the source Offer.
  • The most recent Pricing Plan is selected by default and labelled (Latest). This applies even when the latest Pricing Plan is dated in the future.
  • Only dates with existing Pricing Plans are selectable.
NOTE! Only one Pricing Plan effective date is copied per operation. If the source Offer has multiple historical Pricing Plans and you need more than one of them, you will need to add the additional Pricing Plans manually after the copy. See How to create and manage Pricing Plans.

Confirming the copy

Once the entity selection is complete:

  • Select Confirm (primary button) to create the copy.
  • Select Cancel to close the dialog without creating anything.

On successful confirmation:

  • A new Offer is created in Draft status.
  • The new Offer's name is prefixed with Copy of (for example, "Copy of Premium Plan").
  • A success message is shown.
  • The page navigates to the new Offer's Edit offer page, on the Offer Details step.

NOTE! The Copy of prefix is part of the Offer Name and can be edited like any other text on the Display Information section. Update the name to suit the new Offer before publishing.

After the copy — review and publish

After confirmation, you land on the Edit offer page for the new Draft Offer, on step 1 (Offer Details). From here:

  1. Review and update the Offer Name (remove or change the Copy of prefix).
  2. Edit any other fields that should differ from the source Offer — for example, Custom ID, Description, Industries, Countries, and so on.
  3. Step through Pricing, Billing Rules, and Provisioning to confirm the copied configuration is correct.
  4. Open Review & Publish, resolve any validation issues, and publish the new Offer.

NOTE! Because the new Offer is a Draft, all normally locked fields (for example, Custom ID, UNSPSC Classification, Contract Type, Industries, Billing Date, Proration) are fully editable. They will become locked once the new Offer is published, just like any other Offer. See How to edit an Offer for the full list of fields that become locked after publishing.

Limitations

  • The new Offer is always created as a Draft. It must be reviewed and published manually before it becomes available to Customers.
  • The Offer Form is mandatory and cannot be unselected in the dialog.
  • Only one Pricing Plan effective date can be copied per operation, selected from the last 5 available dates of the source Offer.
  • The new Offer's name starts with the Copy of prefix and must be reviewed (and typically renamed) before publishing.

Summary

The Copy Offer action duplicates an existing Offer as a Draft, copying the user-selected combination of Offer Form (mandatory), Pricing Plan, Billing Rules, and Integration Sequences. The action is started from the Copy Offer icon in the Actions column of the Offers grid. The dialog lets you toggle individual entities or use Select All; when Pricing Plan is selected, you can choose one of the last 5 effective dates (latest by default). After confirming, the new Draft Offer opens in the wizard with the name prefixed by Copy of, ready for review, editing, and publishing.
