How to create a new Price?

Appxite

Introduction

This article explains how Product Managers can create prices for Offers in Product Management. Prices define the Vendor Price (Cost Price) and Suggested Retail Price for Offers, enable tiered pricing, and specify when pricing becomes effective. Understanding price creation ensures Offers have proper pricing configurations before publication.

Accessing price creation

Once an Offer is created, you can add a Price to that Offer. In the Offers section, next to the newly created Offer, you will see Edit, View Prices, and New Price options.

To create a new Price, select "New Price" or "View Prices."

Viewing existing prices

Selecting "View Prices" will display a new window with the Prices interface:

1. New Price: Create a new Price configuration for the Offer.

2. Filter: Search for prices by typing the Price name or other criteria.

3. Currency: Displays the currency in which the Price is created.

4. Unit: Shows the unit in which the Price is created (for example, License, Account, etc.).

5. Effective Dates: Displays the date range when the Price is in effect (for example, "Jun 10, 2021 - Infinity").

6. Edited: Shows the last edit date and time for the Price.

7. Created: Displays the date and time when the Price was created.

8. View: Opens the Price details to view the pricing period and configuration.

Creating a new price

Selecting "New Price" opens a new window where pricing information needs to be filled in.

NOTE! Mandatory fields are marked with an asterisk (*) symbol next to the field name.

Price configuration fields:

1. Effective from: The date when the Price becomes effective. This is always the next day or a further date for the very first Price of the Offer. If "Effective From" is within the period of a month (30 days starting from the date selected), then this Price is considered active and cannot be changed during that period—only adding a new Price is possible for that Offer.

2. Unit: The unit the Offer is sold in. You may choose from multiple options:

  • Account
  • Action
  • Database
  • Device
  • License
  • Mailbox
  • Seat
  • Server
  • Student
  • Teacher
  • Tenant
  • User
  • Workshop

3. Currency: Currency can be chosen from the dropdown list or searched by the currency code.

NOTE! Offers can be published in different currencies, but a Price is not displayed if the Offer does not contain a Price in the Vendor's default currency.

4. Included Quantity: The Quantity that is provided for free (at 0.00 Price). The Price tier is defined by full Quantity, and then included Quantity is calculated as free.

5. Add New: Add a new rate for Price tiering. This creates additional tiers for volume or graduated pricing.

Rates configuration:

6. Min Value: Minimum amount for this Price tier. It always starts with 0 for the first tier and equals the Max Value from the previous tier. However, if you specified minimum and/or maximum Quantity in the Offer creation, it should be the same here.

7. Max Value: Maximum amount (inclusive) for this Price tier.

8. In Price: Vendor Price (Cost Price) without any Markups to the Sellers.

9. Estimated Retail Price: (Or Suggested Retail Price - SRP) Standard Price for Sellers to sell to end-Customers, usually it is Cost Price plus added Markup.

10. Save: Save the newly created Price or changes you made.

After configuring all fields, select "Save" to create the Price.

Price editing and updating

Editing restrictions:

NOTE! There is no possibility to delete or edit the Price directly if it is already active. If you need to adjust or update the Price, change "Effective Till" to, for example, today's date, and set a new Price with "Effective from" tomorrow's date.

Active price protection:

When trying to edit a Price with "Effective from" within today plus 30 days, the following error message will appear:

This protection prevents modifications to active prices that could disrupt current Subscriptions or Orders.

How to update pricing:

To edit the Price for an existing Offer:

  1. Select "Create New Price"
  2. Select an "Effective date from" that begins after the current Price period
  3. Add the new Price configuration, which will override the previous configuration when the effective date arrives

This approach ensures pricing continuity while allowing future updates.

Summary

Product Managers create prices for Offers by selecting "New Price" or "View Prices" from the Offers section. The Prices interface displays existing prices with filterable information including currency, unit, effective dates, and edit history. When creating a new Price, Product Managers must configure mandatory fields including Effective from date (always the next day or later for the first Price), Unit (such as License, Account, or Tenant), Currency, and Included Quantity (free units). Price tiers are configured using Add New rates with Min Value, Max Value, Cost Price (In Price), and Suggested Retail Price (Suggested Retail Price). Active prices within 30 days of their effective date cannot be edited directly—Product Managers must create new prices with future effective dates to override previous configurations. Offers must contain prices in the Vendor's default currency to display properly, and pricing updates require creating new Price configurations rather than modifying existing ones.
