Introduction

This article describes how to manage and customize Platform notifications, including switching notifications ON or OFF and editing recipients. Delivering notifications to the right recipients, based on the preferences of Distributor Admins and Seller Admins, is one of the core features of the Platform. This article is not an exhaustive list of every use case, but it should be a complete guide to configuring notifications the way you need them.

Notification Settings levels

There are three Notification Settings levels available to Platform partners:

  • Default
  • Distributor
  • Seller

The Distributor level is available on the Distributor's Platform, and the Seller level is available on the Seller's Platform.

Settings at the Distributor level target the Distributor's direct Customers and its Sellers. Settings at the Seller level target the Seller's own Customers.

Default level holds the default settings and recipients used when a new Distributor is created. A new Distributor initially inherits these recipients, which is shown in the UI with a Default tooltip next to the relevant recipients:

In addition to configuring their own recipients, Distributor Admins can restrict Sellers from changing the Email and Webhook settings of specific notification events. When an event is locked by the Distributor, it is shown to the Seller as read-only, and the Seller's existing values for that event are preserved as they were at the time it was locked.

This is managed from the Seller restriction column, visible only when the Settings level is set to Distributor, and includes both per-event locking and a Lock all events option.

Notification Settings inheritance explained

Warning! When any Notification Setting is modified at the Seller level, a snapshot of the current Notification Settings is created automatically. This immediately breaks inheritance for all Notification events for that Seller.
  • By default, a Seller inherits its recipients from the Distributor, and a Distributor inherits its recipients from the Default level. This inheritance continues unless Save has been selected at any level.
  • Selecting Save at a specific level makes all recipients currently shown at that level specific to it, and inheritance stops there. Changes made later at a higher level will no longer be inherited by the level that selected Save
    For example, if a Distributor selects Save, it stops inheriting from Default. A Seller under that Distributor continues to inherit from the Distributor until the Seller also selects Save.
NOTE! Recipients show Default or Inherited tooltips in the UI to make this logic easy to follow. The Use cases section below lists four common scenarios for navigating these settings.

If a level needs to re-inherit recipients from a higher level, select "Reset to Default" on the event page, which restores the settings to how they were before Save was first selected.

Distributor Admins and Seller Admins can switch any Platform notification ON or OFF. Changes apply immediately, and the ON/OFF switch only controls whether the notification is sent at all.

Warning! Once a Distributor disables a notification at the Distributor level, its Sellers immediately inherit that change, and the notification is disabled for all of them.

Selecting "Reset to Default" on the list of notification events only updates the ON/OFF toggles:

To configure Platform notifications, go to "Settings" -> "Notification Settings".

  1. Selecting "Edit" next to an event opens the details view, where recipients can be changed.

  2. You can add several TO, CC, and BCC recipients for each notification. TO is mandatory, CC and BCC are optional. Recipients can be set as:
    • An organization contact (for example, the Primary contact)
    • All users of a certain role (for example, all Account Managers)
    • A specific Platform user
    • A custom email address
  3. Selecting "View" next to an event opens the details view in a read-only mode, where recipients cannot be edited.

Seller Admins can use their own sender name and email address for notification emails sent from the Platform. To do so, go to "Settings" -> "Notification Settings" and fill in the Sender tab with the corresponding account details:

Limitations

NOTE! A custom sender email can be used only once a sender domain is validated. If it isn't, the AppXite Support Team needs to be involved.

Notifications can be translated into another language, but only by submitting a support request. Each Seller under a Distributor inherits the translated notification templates, unless the Seller has its own customized templates, in which case the Seller's own templates are used.

Summary

Notifications related to provisioning and maintaining licenses are important to every partner on the Platform. The Platform makes this process robust and fully configurable: once set up, Sellers can view and adjust settings based on their own needs. All changes are visible in the UI immediately and transparently across levels, while personal information stays protected and a Distributor's custom email addresses are not visible to its Sellers. Distributor Admins can additionally lock specific events to prevent Sellers from changing them, see Notification Settings – Distributor View.
