Notification Settings

Introduction

This article describes how you can manage and customize platform notifications, including switching them ON or OFF and editing recipients. It is one of the primary functionalities of Appxite platform to deliver notifications to the recipients based on the preferences of distributor admins and seller admins. While it will not be possible to cover all use cases, this article should be an extensive guide to configure the notifications as it is desired to.

In this article:

In order to configure portal notifications, go to "Settings" -> Notification settings.

Notification Settings Levels

There are three levels of notifications settings available to Appxite partners.

  • Default
  • Distributor
  • Seller

Distributor Level is available at the distributor platform and Seller Level is available at the seller platforms. 

Settings at the Distributor Level are targeting direct customers of distributor and the reseller portals.

Notification Settings at the 'Reseller Level' are targeting customers of resellers.

Default Level are the default settings and recipients which are used initially when new distributor portal is created. When new distributor portal is created, it inherits those recipients and that can be seen in the UI by having 'Default' tooltip added to the specific recipients, as shown below:

Notification Settings Inheritance Explained

  • By default, reseller inherits the recipients from distributor and distributor inherits the recipients from default level. Unless 'Save' had been selected at any time, the inheritance follows those rules. 
  • If 'Save' had been selected at the specific level, all recipients at that point of time visible in UI, become specific for this level only and inheritance finishes here. That means that if changes will be made later at the higher level, those will not be inherited by the entity which had selected 'Save'.
    Let's consider a use case, distributor had selected 'Save' which means that it does not inherit from Default anymore. At the same time reseller would continue to inherit from distributor since it is a next level in a hierarchy until reseller selects Save.

    NOTE! While it might sound overcomplicated, the logic is very easy to understand and followed as the recipients would have 'Default' and 'Inherited' tooltips visible in the UI. Additionally, the latter paragraph of this guide, lists four different use cases for navigating through out these settings.

  • In all cases case, if a particular level desires to re-inherit the recipients from a default level, they just need to select 'Reset to Default' on event page which would apply the changes as before 'Save' was selected for very first time.

Notifications Configuration

Distributor Admins and Seller Admins additionally have the possibility (1) to switch ON or OFF any notification sent out by the platform. Changes are applied immediately. The switch ON or OFF defines only if the notifications are sent out at all.

Warning! Once distributor disabled the notifications at the distributor level, the reseller inheritance that (notifications are disabled for the reseller).

 

Resetting the notification settings to default on the list of notifications events page, will only update the ON/OFF toggles:

In order to configure portal notifications, go to "Settings" -> Notification settings.

 a. Selecting the "Edit" button next to the event will open the details view, where recipients are editable.

It is possible to add several TO, CC, and BCC recipients for each notification.

c. TO recipient is mandatory.

d. CC and BCC are optional.

It is possible to change who receives the notification in each case by specifying TO, CC, and BCC contacts using recipients:
1. Organization contact (e.g., Primary contact).
2. All users of a certain role (e.g., all Account Managers).
3. Specific platform user.
4. Custom email address. 

b. Selecting the "View" button next to the event will open the details view, where recipients are not editable.

Seller admins might want to use their own sender name and email address for notification emails sent out from the platform.

To do so, go to "Settings" -> Notification settings. 

Fill-in the Sender tab with the corresponding account details:

Limitations

NOTE! Custom Sender email can be used only when a Sender domain is validated.
If not, AppXite Support Team needs to be involved.


It is possible to translate notifications into another language. However, translations can be done only by submitting a support request. It is important to note that each Reseller under the Distributor inherits the translated notification templates unless the Reseller has its own customized notification templates. In that case, the custom set of templates will be used for notifications. 

Summary

The notifications for activities related with provisioning and maintaining the licenses it is crucial to all partners of every vendor. Appxite platform makes the process robust and fully configurable. Once you plan and strategize it for it, your sellers will have the flexibility to see and configure based on their demands and business needs. All changes made are visible in the UI straight away with transparency across all levels however the PI data is encapsulated, and distributor custom email addresses are not visible to resellers. Additionally, once you are comfortable with the setup you can feed the notifications into third party application using the webhooks.
