Scheduled Orders

Introduction

This article guides users in scheduling change orders for future dates using the AppXite platform. It covers the available scheduling options, supported actions, platform limitations, and provides step-by-step instructions for creating and managing scheduled orders. The platform supports two main scheduling options: Custom Date scheduling and On Renewal scheduling for subscriptions.

Understanding Scheduled Orders

The AppXite platform provides functionality to schedule change orders for future dates. Users can schedule changes using two primary options:

  • Custom Date: Schedule orders for any specific future date
  • On Renewal: Schedule changes to apply when the subscription renews
NOTE! Scheduled Orders can be executed only if such changes are eligible by the Vendor. If the Scheduled Order is denied by the vendor, the order will be failed by the platform.

The platform synchronizes On Renewal date scheduled orders from vendors. These scheduled orders are visible under the Scheduled Changes tab in the Subscription edit view.

Supported Actions for Custom Date

When scheduling orders for a Custom Date, the following actions are supported:

  1. Quantity increase - Add more licenses or units to existing subscriptions
  2. Upgrade to a different offer - Move to a higher-tier service plan
  3. Term Duration - Modify the subscription term length
  4. Billing Cycle - Change how frequently billing occurs
  5. Other vendor-enabled actions - Additional modifications as permitted by the vendor (including quantity decrease if enabled)

Supported Actions for On Renewal

When scheduling orders for On Renewal, the following actions are supported:

  1. Quantity change - Increase or decrease licenses/units
  2. Upgrade to a different offer - Move to different service tiers
  3. Term Duration - Adjust subscription term length
  4. Billing Cycle - Modify billing frequency
  5. Other vendor-enabled actions - All vendor-permitted modifications

How to Schedule Orders

Scheduling is available for eligible offers from Microsoft and other integrated vendors with instant or near-instant provisioning. When editing a subscription, you can choose when to apply changes:

1. Access Subscription Editing

Navigate to the subscription you want to modify and select the edit option.

2. Choose Timing Options

Select from the following timing options:

  • Now - Apply changes immediately (standard subscription update)
  • After renewal/commitment - Schedule changes for renewal date (may not be available for all subscriptions)
  • Custom date - Select any future date for order execution

NOTE! For Microsoft legacy CSP subscriptions, only two options are available: Now and Custom date, as the vendor doesn't support explicit On Renewal scheduling.

3. Configure Changes

Make the desired modifications to your subscription configuration, including quantity adjustments, plan upgrades, or term modifications.

4. Confirm Scheduling

Review your changes and confirm the scheduled order. The system will create the order and display it in the appropriate sections.

Managing Scheduled Changes

Viewing Scheduled Changes

Active scheduled changes are visible in multiple locations:

  • Subscription grid - Under the Scheduled Changes column
  • Scheduled Changes tab - Detailed view sorted by execution date

Scheduled Changes Information

In the Scheduled Changes grid, you can view:

  • Order ID - Generated by AppXite platform (shows 'Vendor System' for synced orders)
  • Scheduled Date - Target execution date
  • Created By - Order creator (shows 'Vendor System' for vendor-synced changes)
  • Vendor Sync Status - Synchronization status with vendor systems
  • Scheduled Type - Distinguishes between On Renewal and Custom Date changes
  • View details - Click to see comprehensive order information

Order Management Rules

Important constraints for scheduled orders:

  • Only one simultaneous order per subscription is allowed
  • Users can schedule one On Renewal and one Custom Date change simultaneously
  • New scheduled orders will overwrite previous orders of the same type
  • Scheduled orders can only be placed if no orders are currently in progress
  • For example: if you have scheduled +2 subscriptions and later decide that you need 5 extra licenses, place a scheduled order of +5 licenses, as the previous +2 order will be overwritten.

Cancellation and Modification

  • Custom Date orders - Can be cancelled before execution
  • On Renewal orders - Can be overwritten with new On Renewal scheduled changes
  • Orders cannot be modified after creation; new orders must be created to replace existing ones

Notifications

The platform sends notifications for scheduled changes when enabled. Notifications highlight whether changes affect subscriptions On Renewal or on Custom Date.

Custom Date Scenario

When scheduling a Custom Date order:

  1. Order creation date - OrderScheduled notification sent
  2. Execution date - OnPurchaseNotification and SubscriptionChangeSuccess/Error notifications sent

On Renewal Scenario

When scheduling an On Renewal order:

  1. Order creation date - OrderScheduled notification sent
  2. Same day - OrderScheduledChangeSuccess notification sent

Limitations

The following limitations apply to scheduled orders:

  • In scenarios where users have scheduled on-renewal upgrades (e.g., Business Basic to Business Standard), the OrderScheduled notification displays the upgraded subscription name immediately
  • Subscription updates in the Vendor platform may cause inconsistency with AppXite until synchronization occurs
  • Scheduled changes from Microsoft sync on the next calendar day
  • Microsoft Partner Center changes override existing On Renewal scheduled changes in the platform
  • Custom Date orders show 'Scheduled' status while On Renewal orders show 'Provision finished' status
  • Users cannot schedule the 'Renews On' checkbox as vendors don't accept such orders
  • Scheduled Changes tab prices display without extended markup information
  • Custom Date scheduled orders aren't cancelled for subscription configuration changes; the platform attempts execution on the target date

WARNING! For scheduled orders, status should be validated in the Orders section and with the vendor, as service synchronization issues are possible.
