Descriptions of Columns in the Subscription Report

How to Access The Subscription Report Page
1. Go to your reseller portal and at the top menu click on the "Reports":

Filter Groups
We have 4 filter groups available to help you find different types of subscriptions: Basic, Subscriptions, Price config, and Offers.
1. Basic filter group includes Reseller, Customer, Vendor, Offer, Subscription Status, Auto Renew Enabled, Trial, Microsoft NCE.
2. Subscriptions filter group includes Vendor, Subscription, Auto Renew Enabled, Auto Renew Change Date, Trial, Microsoft NCE, Subscription Start Date, Subscription End Date, Days Until Subscription End Date, Currency, Subscription Status.
The subscriptions filter group has a special filter Auto Renew Change Date that is useful to track and take action on subscriptions that recently have their Auto Renew disabled which means that they are likely to churn.
Few things for this particular filter:
- This change date is based on Auto Renew status change checks that are done daily, so in some cases, it may deviate from the actual change date by 1 day.
- We have data for this change date starting from July 2022, so if the Auto Renew status changed before that, it may not appear in the report.
The "Days until subscription end date" filter is currently set up to display 999 days. If selected 999, the report will show all the subscriptions, even with longer expiration dates.
3. Offers filter group includes Vendor, Product, Offer, Offer Type, Trial, Microsoft NCE, Custom Offer Properties, External Offer Id.
4. Price Config. filter group includes Customer Price Source, Customer Price Source on Renew, Customer Price Configuration and Customer Price Configuration on Renew:
Column Filters
We offer 7 column filters that work alongside the filter groups: Basic, Extended, Unique IDs, Price on Start, Prices Today, Price Configuration Today, and Price Configuration on Renew.
1. Basic column filter includes Customer, Offer Name, Subscription Start Date, Subscription End Date, Status, Auto renew enabled, Billing Cycle, Vendor and Quantity(Today).
2. Extended column filter includes Customer, Customer Vendor ID, Customer ERP ID, Admin Account Email, External Offer ID, Offer Name, is NCE, Internal Subscription ID, External Subscription ID, Subscription Start Date, Subscription End Date, Term Duration(Months), Status, Auto renew enabled, Auto Renew Change Date, Billing Cycle, Vendor, Currency and Quantity(Today).
3. Unique IDs column filter includes Customer Vendor ID, Customer ERP ID, External Offer ID, Internal Subscription ID and External Subscription ID.
4. Price on Start column filter includes Quantity(on Start), Seller Unit Cost(on Start), Seller Total Cost(on Start), Customer Unit Cost(on Start), Customer Total Cost(on Start), Seller to Customer Margin(on Start, %) and Seller to Customer Markup(on Start, %).
5. Prices Today column filter includes Quantity(Today), Seller Unit Cost(Today), Seller Total Cost(Today), Customer Unit Cost(Today), Customer Total Cost(Today), Seller to Customer Margin(Today, %) and Seller to Customer Markup(Today, %).
6. Price Configuration Today column filter includes Customer Price Source, Customer Catalog Price Adjustment %, Customer Subscription-specific Price Adjustment %, Customer Total Price Adjustment %, Customer Price Configuration and Customer Subscription Adjustment Set to Repeat.
7. Price Configuration on Renew column filter includes Customer Price Source on Renew, Customer Catalog Price Adjustment on Renew %, Customer Subscription-specific Price Adjustment on Renew % and Customer Price Configuration on Renew.
8. Microsoft License Unit Availability The report shows essential details like Subscription/License Name, Total Licenses, Assigned Licenses, and Unassigned Licenses for effective tracking of license usage. Users can also view this information by customer for improved management of license distribution across subscriptions.
Column filter includes Microsoft Product SKU Name, Total units(all subscriptions in Product SKU), Available Units, Active Units, Consumed Units, Suspended Units and Warning Units.
Sometimes, the price configuration for a subscription might not align with what it would be if the subscription were created anew with the same start date. This can occur when backdated adjustments are made after the subscription has begun. You'll notice this marked with an asterisk, along with a note in the report.
Scenario and Expected Behavior
- On July 1, 2024, a customer signs up for a subscription. At that time, the pricing setup reflects an "In Price + 0%" based on the configuration effective from June 1, 2024.
- A few days later, the seller decides to adjust the markup for this subscription. They create a new pricing setup with a 4% markup, backdating it to July 1, 2024. However, this doesn’t affect the customer's price configuration because it remains unchanged from the last price calculation date.
- After noticing that nothing has changed, the seller makes a specific adjustment for the subscription, applying the 4% markup. This successfully updates the actual markup to 4%, and everything seems fine.
- When the renewal date arrives, if the subscription-specific adjustment is set to be reapplied (which is the default), the customer's total markup will increase. It will be 4% from the pricing configuration plus another 4% from the subscription-specific markup, resulting in a total markup of 8%. This creates a bit of a problem, and someone will need to reset the subscription-specific markup back to 0%.
Limitations
Partners are restricted from making any modifications to the Subscription Report. Their role is limited to utilizing the filters that are provided to them. This means that while they can analyze the data presented in the report, they do not have the authority to change or edit any of the content within it. The available filters allow partners to refine the information according to specific criteria, enabling them to focus on the data that is most relevant to their needs.
